Pilot intake · Amsterdam 2026

Every line item, traceable.

You approve the timesheet once and the invoice once. Your books then match what happened on set.

A two-stage approval chain runs from time logs to the invoices you pay, and CrewShift applies the overtime tiers and the cost coding for your books. Days of checking come down to minutes, and the audit trail builds as you go.

Find crew Deal memo Time log Approved · stage 1 Invoice received Approved · stage 2 Paid

It starts at the deal memo, where every rate is agreed before day one. Stage one approves the timesheet, stage two the invoice, with the cost coding for your books applied, so nothing gets paid unverified. Step by step below ↓

The Problem

The Reality on Set Today

Production chaos, as seen on Dutch sets.
01 / 03

"Who's available for next Tuesday?"

You're texting and calling 50 people. Half never reply. The gaffer you need is already booked. The 1st AD keeps forwarding you screenshots of other people's contacts, because there's no central database of crew with their actual availability. You end up running a detective agency on the side of making a film.
02 / 03

"What do I owe everyone?"

Night surplus? Running lunch? Loading time that became overtime? Your 2nd AC worked 14 hours but had a running lunch, at night, in the weekend, so that's... wait, what's their rate again? The timesheet is a photo of a crumpled paper. This shouldn't take a PhD in production accounting.
03 / 03

"Where's my money?"

Crew submitted invoices two weeks ago. Producers are still cross-checking timesheets against call sheets. Someone disputes the lunch penalty. Another forgot to add loading time. Payments are stuck in verification hell while rent is due. Everyone loses.

The Flow

The CrewShift Way

Four steps. By the end, every hour, penalty and signature is accounted for.

FIND

Search the crew database by department, skill or location, then filter to your shoot dates and you get back the people who are genuinely free. Profiles list specializations, certifications, gear and rates.

TRACK

Crew taps in at call time, taps out at wrap. Running lunch? One tap. Night surplus is auto-detected from the clock window. Travel hours get logged too. The app knows your project rules and calculates everything as the day runs, with no paper involved.

PAY

CrewShift generates hot costs daily and calculates each hour and penalty automatically. Invoices arrive from crew pre-verified against the tracked data, so you approve with one tap. Anything off-plan needs a logged reason. You pay knowing every line is right, and disputes get settled in the app.

Overtime & premiums

On-set time tracking that adds up

The rules are messy. The math shouldn't be. CrewShift handles both.
01

Overtime tiers, configured per project

As many tiers as the project needs. Each one has its own hour threshold and multiplier, set once when you build the project's work rules and applied to every entry from then on.

02

Night, sixth day and turnaround premiums

Night work from 22:00 to 06:00 carries a premium. Consecutive days and turnaround add their own, and CrewShift reads all three off clock-in and clock-out.

03

Live cost on the producer dashboard

Project cards run a live spend ticker as crew clock in. Tap any line to see the split by hour, premium and travel.

Build the work rules

Day length, overtime tiers, night premium, sixth-day and turnaround, saved as one template.

Set per-crew rates

The deal memo locks in the daily rate, role and any negotiated lines.

Watch the live cost

Per-project spend ticks up as crew clock in, and a tap opens the breakdown.

Set Approval chain

Submitted entries run through your custom chain of Timesheets, Finances and Teambuilding, where each role verifies before signing off in one tap.

Plan what-ifs in a sandbox

Fork the schedule into a scenario, model the budget and crew changes, then move only the parts you want into the live plan, with a fee preview before anything bills.

Delegate without losing control

Give heads of department scoped rights over timesheets, finance, team-building and planning, then add co-producers. Planners can propose changes, but rates and signed work rules stay yours.

Crew, contracts, hours and spend, all on one screen per project.

Deal memos

A real negotiation, not a form

Producers and crew agree the rate between them. CrewShift runs the back-and-forth to a deal memo they both trust.

Offer, counter, agree

Producers send an offer with day rate, buyout or monthly, dates and work rules. Crew accept, counter or decline, and the thread stays on record.

Gear priced on its own line

Crew list their kit with day rates, each item on its own line. A discount on a gear line comes off that line only, leaving the agreed day rate untouched.

One yes, the rest cancel

Confirm someone on a project and their overlapping offers cancel automatically, so no one is double-booked.

Counter-signed and sealed

Agreed terms become a digital deal memo. Both parties sign it on their phone. It then freezes into a tamper-evident snapshot that drives every pay calculation downstream.

FAQ

Questions from the production office

How does CrewShift work on a film production?

Crew clock in at call time and out at wrap on their phone. The app applies your project work rules as the day runs, you approve the timesheet, and the invoice that arrives already matches the hours you signed off. The chain runs in two stages: first the timesheet, then the invoice.

What is two-stage approval?

Stage one approves the time log. Stage two approves the invoice that comes out of it, so nothing gets paid that hasn't passed both. Anything off-plan needs a logged reason, and every approval lands in the audit trail.

Does it calculate overtime and night premiums automatically?

Yes. You set the work rules once per project: overtime tiers with their own hour thresholds and multipliers, night premium, sixth day and turnaround. CrewShift then reads them off clock-in and clock-out on every entry, so nobody retypes a timesheet.

Can I see what a shoot day is costing while it runs?

Project cards run a live spend ticker as crew clock in, and hot costs come out daily. Tap any line to see the split by hour, premium and travel.

Can anyone else approve besides me?

You build the approval chain yourself from the Timesheets, Finances and Teambuilding roles, and each role verifies before signing off in one tap. Heads of department and co-producers get scoped rights, but rates and signed work rules stay yours.

Is CrewShift available yet?

CrewShift is in development in Amsterdam and pilot intake for 2026 is open. It runs on iOS, Android and the web, in English and Dutch.

Trust

Built to be audited

This is money- and contract-handling software, built so every figure can be traced and proven.
Sealed SHA-256 7-year audit trail

Tamper-evident documents

Deal memos and invoices are sealed into certified PDFs with a SHA-256 content hash the moment they're signed. Edit a number afterwards and the seal breaks.

Immutable, every view logged

Issued invoices freeze into a snapshot, and an append-only event log keeps a 7-year record of who signed and saw what.

Encrypted where it counts

Bank, tax and rate details are encrypted, and masked on screen so the person at the next table can't read them.

EU-hosted, GDPR by design

Data lives on EU-hosted infrastructure, and diagnostics stay off until you switch them on. From inside the app you can export everything (GDPR Art. 15 and 20) or delete your account (Art. 17).
